1. Overview & Statement of Compliance

RetailHour ERP ("the Platform"), owned and operated by BigHEAD Technologies Gh Ltd ("the Company", "We", "Us"), is committed to safeguarding the operational, transactional, financial, and personal data processed through our application stack. This Privacy Policy governs data processing activities in strict compliance with the Data Protection Act, 2012 (Act 843) of Ghana, and regional data security protocols.

2. Categories of Data We Process

To guarantee full ERP and hardware execution, the Platform acts as a Data Processor for the following record segments:

  • Merchant Account Information: Company name, digital addresses (GPS), tax identification numbers (TIN), corporate emails, and validated phone configurations.
  • Transactional & Fiscal Realities: Retail receipts, invoice mappings, gross sales records, payment mode choices, cash balancing logs, and tax stacks (GETFund, NHIL, COVID Levy, VAT).
  • Inventory & Supply Chain Assets: Product names, cost variables, single-unit package breakdowns, warehouse transfer mappings, barcodes, and waybill trails.
  • Human Resource Matrix Logs: Employee shift rosters, cashier checkouts, targets, commissions, and access authorization level records.
  • Client Data Profiles: Customer Names, corporate contact records, mobile numbers, and credit limit allocations.

3. Methods of Data Utilization

We strictly process collected information for these designated engineering goals:

  • To render real-time point-of-sale checkouts and maintain local desktop hardware loopback connections securely.
  • To calculate automated bookkeeping ledgers, balance assets, and prepare error-free GRA tax profiles.
  • To transmit automated transactional SMS receipts and outstanding balance alerts to your clients.
  • To deploy silent background patch releases and automatic application updater scripts safely.

4. Data Sharing & Third-Party Disclosure Restrictions

We do not lease, trade, sell, or exploit merchant data assets to third-party marketing agents under any condition. Data disclosure occurs exclusively under the following strict parameters:

  • Statutory Mandates: Where requested by law, court order, or authorized state agencies (such as the Ghana Revenue Authority for audit matching checks).
  • Infrastructure Execution: To secure telecommunication operators (SMS aggregators) or cloud infrastructure networks (Hetzner Cloud hosting nodes) required to serve the ERP.

5. Data Retention, Security & Redundancies

Merchant database records are processed inside encrypted physical data nodes hosted on highly secure Hetzner cloud server networks. We utilize automated real-time mirroring loops to copy and backup database segments hourly onto separate recovery drives. We retain database records for the entire active lifecycle of the Merchant's subscription or as dictated by state tax records preservation directives.

6. Merchant Rights (Data Protection Act, 2012)

In accordance with Act 843, authorized merchant administrators retain absolute rights to request access to their database records, object to specific processing channels, or execute complete account deletion. Data erasure operations are final, irreversible, and purge all operational history logs from the live node clusters within 72 hours.

7. Policy Modifications & Revisions

We reserve the right to append or adjust this framework to adapt to platform changes or national legislative updates. Active users will receive automatic notifications inside their Angular dashboard view states whenever a patch release changes data handling rules.
